1. Before you start
Determine which laws, workplace or school policies, contracts, confidentiality duties, and meeting-platform rules apply. Recording and transcription requirements differ by place and context, and can depend on where each participant is located.
Tell participants that audio will be captured, transcribed, translated, or analyzed by AI. Obtain consent when required, record that consent when appropriate, and stop or change your process if a participant objects. A host's invitation or a platform banner may not be enough for every use.
2. Meetings, interviews, classes, and media
Use extra care with job interviews, classrooms, minors, health or legal discussions, trade secrets, customer calls, and other sensitive settings. The organizer, employer, school, or platform may prohibit recording even when a general law would permit it.
For videos, podcasts, classes, and language learning, respect copyright and access restrictions. A personal subscription does not grant rights to copy, republish, train on, or distribute someone else's content.
3. What the app may process
Local mode keeps supported speech and AI processing on your Mac. Cloud speech sends active meeting audio to a speech provider. A Cloud AI request may send relevant transcript context and your prompt to an AI provider. See the Privacy Notice for data categories, purposes, providers, retention, and choices.
Only enable a Cloud feature when the participants and information involved are suitable for that data path.
4. Use AI output with judgment
Transcripts, translations, speaker labels, interpretations, answer suggestions, and notes may be wrong or omit context. Verify names, numbers, commitments, and sensitive conclusions against the source.
Do not secretly use Otoha Meet for surveillance, impersonation, manipulation, academic misconduct, or unlawful automated decisions. Do not present an AI suggestion as your own professional assessment without review.
5. After the session
Limit access to the people who need the record. Review before sharing or exporting, correct material errors, and delete local meetings when they are no longer needed. Follow any retention, access, or deletion request that applies to the recording.
If you are unsure whether you can record or process a session, do not start capture until you have guidance appropriate to your jurisdiction and organization.
